The Junior SHEQ System and IT Administrator is responsible for building, managing, and maintaining Nafasi’s SHEQ Business Management and IT Systems.
Vacancy Description
KEY PERFORMANCE AREAS:
(Include, but not limited to)
• System Management:
• Administer and maintain SHEQ management systems, ensuring they are up-to-date, functional, and compliant with regulatory standards.
• Configure and customize SHEQ software and tools to meet organizational needs.
• Monitor system performance and resolve technical issues to ensure optimal functionality and availability.
• Data Management:
• Collect, organize, and manage data related to safety, health, environment, and quality metrics.
• Ensure accurate and timely entry, retrieval, and reporting of SHEQ data.
• Develop and maintain SHEQ databases and documentation, including policies, procedures, and records.
• IT administration:
• Provide first-line technical support, manages daily IT operations, and maintains hardware and software
• Onboarding & Offboarding: Provisioning hardware for new hires and revoking access or wiping machines for departing employees.
• Compliance and Reporting:
• Generate and analyze reports on SHEQ performance, incidents, audits, and compliance.
• Prepare and present SHEQ reports to management and regulatory bodies as required.
• Ensure compliance with local, national, and international SHEQ regulations and standards.
• System Support and Training:
• Provide technical support and training staff on the use of SHEQ management systems and tools.
• Develop and deliver training materials and sessions to ensure effective system utilization and compliance.
• Act as the primary point of contact for system-related inquiries and issues.
• Continuous Improvement:
• Identify opportunities for system improvements and implement changes to enhance efficiency and effectiveness.
• Stay updated on industry trends, new technologies, and best practices in SHEQ management.
• Collaborate with SHEQ teams and other departments to integrate system improvements and address operational challenges.
• Documentation and Record-Keeping:
• Maintain accurate records of SHEQ system updates, changes, and user activities.
• Ensure that all documentation related to SHEQ systems is properly archived and easily accessible.
• Assist with audits and inspections by providing necessary documentation and support.
• SHEQ related procurement:
• Raise requisitions of requested goods and services
• Post and book goods and services accordingly
EXPERIENCE:
• Prior experience in SHEQ systems administration or a related role.
• Solid understanding of SHEQ frameworks and regulatory requirements (ISO 9001, ISO 14001, ISO 45001). And ISO 27001 for Information Security Management Systems (ISMS)
• Experience with SHEQ software, data management, and reporting tools is advantageous.
• Basic knowledge of any ERP systems
ACADEMIC QUALIFICATIONS, PERMITS/LICENCES, REGISTRATIONS
• Matric/ Must have sound knowledge of ISO 9001, ISO 45000, ISO 14001 and ISO 27001
• IT course, industrial engineering or related diploma
• Microsoft tools Certificate (SharePoint, Power BI, PowerApps and related Apps)
KNOWLEDGE, SKILLS & ABILITIES:
• Strong technical skills with proficiency in SHEQ management systems and IT software, including MS 365 PowerApps, Microsoft dynamics, PowerBI, PowerAutomate, SharePoint, etc.
• Excellent analytical and problem-solving abilities.
• Strong organizational and time-management skills.
• Effective communication and interpersonal skills, with the ability to train and support staff.
• Attention to detail and commitment to accuracy and compliance.
